Supplier Portal - Introduction

Outsource data maintenance to your suppliers

The Perfion Supplier Portal is a simplified version of the web client, where suppliers can manage data for their own products. Suppliers either create items themselves and submit for your acceptance, or you create items in Perfion and expose them to suppliers for enrichment. Updates done by suppliers can be accepted or rejected by you. This means you have full control of data in Perfion.

Solution architecture

From a data perspective, the supplier portal is a new data layer, where suppliers “own” items and data. Supplier items are linked to Perfion items, so when a supplier changes a value on an item in the portal, the change becomes visible in Perfion. You can then accept or reject the change.

Supplier data model

You control which features the supplier can see and manage data for in the portal. This is done via two new views in the configuration (Expose and Expose Read Only). When you expose selectable features, suppliers have access to same values as you have in Perfion.

Use cases

The supplier portal can be set up to support different use cases depending on your business processes.

Suppliers create items and submit to you when fully enriched

With this workflow you grant suppliers rights to create items in the portal:

  • Suppliers create items manually or via import and enrich them with data (status = draft)

  • When new items are fully enriched with all mandatory values, suppliers submit items to you (status = submitted)

  • In the portal, you accept the items you want in Perfion and reject the rest

    • Accepted items are created in Perfion (status = accepted)

    • Rejected items stay in the portal (status = rejected)

  • You proceed with further enrichment in Perfion forllowing your normal processes

  • Subsequent supplier updates to data are highligthed in Perfion for your review and acceptance

You create items and expose to suppliers for enrichment

With this workflow suppliers cannot create items. You create items in Perfion and expose them to suppliers for enrichment:

  • You tag items in Perfion to be exposed

  • An action selects key data from tagged items and creates “sibling supplier items” in the portal

    • Sibling supplier items in portal are automatically linked to Perfion items

  • Suppliers enrich items in portal with data

  • You accept or reject supplier data in Perfion

Supplier portal is used to onboard items and data from external sources

This workflow is relevant if you onboard items and data from an external source but want to accept only a subset of items and monitor changes in data.

  • The external source provides access to their data (API endpoint, exported file, etc)

  • An action transforms the external data format to the format of the supplier portal and import data into the portal

  • In the portal, you accept the items you want in Perfion and reject the rest

    • Accepted items are created in Perfion

    • Rejected items stay in the portal

  • You proceed with further enrichment in Perfion forllowing your normal processes

  • The same action runs at selected intervals and reimports all data

  • Changes in data are highligthed in Perfion for your review and acceptance
