Windows Main menu (Legacy Versions)
The main menu in Perfion provides access to a number of supporting functions. The main menu has three entry points, but only Tools is relevant for non-admin users.
Get new items
Get new items is a legacy function previously used to manage synchronization with an ERP system. In most current implementations, the function will just bring up an empty dialog box like this:
If your company uses this function, you will be able to activate synchronization of new items from ERP to Perfion from this dialog.
Sync remote data
Sync remote data is a function that allows you to synchronize data from external systems (typically ERP) into Perfion. It also allows you to perform “internal” synchronizations in Perfion.
Available synchronizations depend on what your Administrator has set up. In this example, three synchronizations are available:
Each synchronization has built-in functionality that is not visible to users. Your Administrator will explain what they do if you are granted access to run them.
To run a synchronization, you just check one (or several) and click OK. Perfion will then close the dialog box, and in the bottom-right corner of the screen you will see an indication that a synchronization is running:
When the progress bar disappears, the synchronization is done.
Import data
Import data allows you to import “feature data”, which basically means all data you manage in Perfion. Most often this would be product data, but it could also be selectable values (e.g. a full list of colors), or images and files (imported to products or image/file libraries).
NOTE: This user guide does not explain the full functionality of the Feature Data Importer. It is explained in the “Perfion Import and Export Manual”.
The Import Data-button opens the Feature Data Importer dialog box. It looks like this:
Import example: You want to import some technical specifications to the Coffee Makers you have in Perfion. You create an Excel sheet like:
The first two columns identify the products in Perfion. The last three columns identify specific features and have values for each product and each feature.
To import the data must do three things:
Specify in the first drop-down that you want to import to the Product feature
Load the data with the button Load Data…
Click Import to Perfion
After import, the data for your Coffee Machines has been updated.
Import Related Sort Orders
Import Related Sort Orders allows you to define sort orders of items in catalogs. It is a highly specialized function not relevant for most users.
Please refer to Import And Export for information about import of related sort orders.
Switch user
Switch user allows you to log out of Perfion and log in with a different user profile.
NOTE: if your Administrator has set you up with single sign-on, you will not be able to log in with a different user profile. It looks like you can, but if you check the lower-left corner of the main screen you will see, that you are still logged in with your “normal” user:
Change Password
Change Password enables you to change your own password. Type in your old password, specify a new password and confirm the new password.
Perfion does not enforce password rules. Your password can be any format you please.
Log
The Log gives you access to see historic data in Perfion and restore data if needed. With the log you can see historic data at feature and item level. This means you can restore a single value but also an entire product.
NOTE: The Log only contains data if logging is enabled in your database. This is something your Administrator must do.
Example: You search for all changes done by user JG from 07-11-2019 and forward. Resulting log entries are grouped by product. In this example, user JG changed values for product DFGR1280 in features Publish to web, EAN and Color. The Log shows values as they were before JG changed them.
To restore the color Red, you right-click on the Color-line and choose Restore value:
The full functionality of the Perfion Log is explained in Logging and Recycle Bin.
Scheduling
Scheduling is a tool that allows you to schedule and manually execute Perfion Actions. Perfion Actions are not explained in this user guide. Please refer to Action User Guide. A Perfion Action is typically a process that imports or exports data based on a set of pre-defined rules.
Example: Your Administrator has created an Action that import images from a hotfolder. A schedule has been created to execute this Action every hour on the hour.
If you have an urgent need to execute this Action, all you need to do is select the Schedule and click Start:
The full functionality of the Perfion Scheduler is explained in Scheduler.
